Important Notice
Before completing your reservation, we kindly ask that you take a moment to review the following Terms and Conditions.
By making a booking with
CosmoVista Tours, you are entering into a legally binding agreement. This agreement applies to you and any fellow travelers you are booking on behalf of. Your reservation confirms that you accept these Terms and Conditions and agree to follow them in full.
Acknowledgement of terms
This applies to all travelers.
Whether you book online yourself or someone makes a reservation on your behalf, you agree to the Terms and Conditions outlined here. If the traveler is under 18 years of age, a parent or legal guardian must also agree to these terms.
By proceeding with your booking, you confirm that you’ve read, understood, and accepted these Terms and Conditions—and that you’ll comply with them throughout your travel experience.
Payment Terms
CosmoVista Tours accepts payments using Visa, Mastercard, and debit cards. All online transactions are securely processed through Stripe, a trusted and accredited payment platform with an A+ Better Business Bureau rating.
When you pay online, the charge will appear as CosmoVista Tours on your credit card or bank statement.
By submitting payment through our website, you confirm your agreement with our full Terms and Conditions—even if you haven’t signed a physical form. By authorizing payment with your card, you also acknowledge and accept the following:
- All information you provide (including card details) must be accurate and complete.
- You confirm that you’re authorized to use the credit or debit card for this transaction.
- CosmoVista Tours reserves the right to cancel your booking if payment is declined or if there’s any suspicion of unauthorized card use.
- Fraudulent, deceptive, or dishonest activity is strictly prohibited.
- You agree to follow all applicable laws and are responsible for any costs resulting from a violation of these terms.
- Your credit card provider may have rules, limits, or identity checks you must comply with. CosmoVista Tours may also request verification documents if needed.
Declined or Unsuccessful Payments
A booking is not confirmed until the required deposit or payment has been successfully processed and CosmoVista Tours has issued written confirmation.
If an initial payment is declined or otherwise unsuccessful, no space will be held unless CosmoVista Tours confirms otherwise in writing.
If a scheduled payment or final-balance payment is unsuccessful, we will attempt to notify the person who made the booking using the contact information provided. The traveller is responsible for promptly providing a valid payment method and ensuring that payment is received by the applicable deadline.
If payment is not received within the time stated in our notice, CosmoVista Tours may cancel the reservation. Any deposit or amount already paid will be handled according to the Cancellation, Changes and Refund Policy.
Reinstatement is not guaranteed. If space remains available, a new booking may be required at the price and terms then in effect.
CosmoVista Tours is not responsible for bank fees, card restrictions, expired cards or other payment issues controlled by the traveller or financial institution.
Cancellation & Refund Policy
Deposit
A deposit of 10% or 15% per person, as specified on the individual tour page, is required at the time of booking.
Deposits are non-refundable in cash.
If you notify CosmoVista Tours at least 45 days before departure and have not paid the final balance, you may apply the eligible amount paid as a one-time credit toward another CosmoVista Tours departure.
The replacement tour must:
- Depart within 12 months of the original departure date;
- Have availability at the time of the transfer; and
- Be booked by the original traveller.
A CAD $50 change fee applies per traveller, along with any increase in the tour price, applicable supplier fees and non-recoverable costs.
Credits:
- Have no cash value;
- Cannot be transferred to another person;
- May be used only once; and
- Expire if not used within the permitted 12-month period.
Final Payment
The final balance is due 45 days before departure unless a different deadline is clearly stated on the individual tour page or booking confirmation.
Once a booking has been paid in full—whether before or on the final-payment deadline—it becomes fully non-refundable and non-creditable.
Within 45 days of departure, all amounts paid, including the deposit, are non-refundable and non-creditable.
Changing a Tour or Departure Date
An eligible booking may be moved once to another CosmoVista Tours tour or departure date, subject to the conditions above.
A CAD $50 change fee applies per traveller. Travellers are also responsible for:
- Any increase in the price of the replacement tour;
- Additional supplier-imposed fees; and
- Non-recoverable costs already incurred for the original booking.
Once the final balance has been paid, the booking cannot be moved to another tour or departure date.
Traveller Name Changes and Substitutions
You may request to substitute one traveller for another up to seven days before departure, subject to supplier approval.
A CAD $50 change fee applies per affected traveller, plus any additional fees charged by hotels, transportation providers, attractions or other suppliers.
A traveller substitution does not permit the booking to be moved to another tour or departure date.
Other Customer-Requested Changes
A CAD $50 change fee per affected traveller applies to any approved customer-requested change that requires CosmoVista Tours or one of its suppliers to revise the booking.
All changes are subject to availability, supplier approval and any additional supplier fees.
Non-Recoverable Items
Prepaid theatre tickets, special-event admissions, attraction tickets and other supplier costs become non-refundable once purchased.
If a traveller cancels or changes a booking, these non-recoverable amounts will be deducted from any credit that would otherwise be available.
If CosmoVista Tours Cancels
If CosmoVista Tours cancels a departure for an operational reason, such as insufficient enrolment, you may choose:
- A full refund of all payments made to CosmoVista Tours for that tour; or
- A credit equal to 100% of those payments toward another eligible CosmoVista Tours departure.
No change fee will apply when CosmoVista Tours cancels the departure.
Circumstances Beyond Our Control
If a tour cannot proceed or must be materially changed because of circumstances beyond our reasonable control—including severe weather, natural disasters, government restrictions, border closures, strikes or other force-majeure events—refunds, credits or alternate arrangements will depend on supplier policies, recoverable funds and applicable law.
CosmoVista Tours will communicate the available options promptly but is not responsible for additional personal expenses or losses not included in the tour price.
Travel Insurance
Travel insurance is not mandatory, but we strongly recommend purchasing comprehensive coverage at the time of booking.
Coverage should include trip cancellation, trip interruption and emergency medical expenses. Travellers are responsible for reviewing the policy’s coverage, limits, eligibility requirements and exclusions.
Pricing
All prices are in Canadian Dollars and include applicable taxes unless otherwise noted. Rates are based on availability at the time of booking and may change without notice.
Exclusions
Tour prices do not include personal expenses such as:
- Room service, beverages, phone calls, laundry
- Special dietary requests
- Any meals not specifically listed in the tour itinerary
Gratuities
Tipping is optional but always appreciated. Gratuities are not included in the tour price and can be offered to tour directors, drivers, guides, and waitstaff at your discretion.
Refunds for Unused Services
No refunds will be issued for any unused portions of the tour—whether due to personal choice, illness, or unforeseen circumstances.
Itinerary Changes & Tour Conditions
We aim to deliver the experience as described. However, itineraries may change before or during the tour to enhance comfort, safety, or enjoyment.
- If changes result in added costs (e.g., upgraded attraction), guests are responsible for the difference.
- If changes reduce costs, the savings will be refunded.
- No refunds are issued for changes during the tour or for missed services.
CosmoVista Tours reserves the right to decline or remove any guest whose behavior negatively affects the group. No refund will be issued, and return travel will be at the passenger’s expense.
Date Changes
Requests to change a tour’s departure date must be made at least 45 days before departure and before the booking has been paid in full.
Approved date changes are:
- Subject to availability;
- Permitted one time only;
- Subject to a C$50 change fee per person;
- Subject to any increase in the tour price and any non-refundable supplier charges; and
- Limited to a replacement CosmoVista Tours departure occurring within 12 months of the original departure date.
- Date changes are
not permitted within 45 days of departure or after the booking has been paid in full. Any unused credit has no cash value, cannot be transferred to another traveller, and expires if not used within the permitted period.
Pricing
All prices are stated in Canadian dollars unless otherwise indicated.
Tour prices include applicable taxes and the services listed in the What’s Included section of the individual tour page. Optional activities, personal expenses, travel insurance, gratuities and other exclusions are not included unless expressly stated.
Advertised prices and availability may change before a booking is confirmed.
Once CosmoVista Tours has received the required payment and issued written confirmation, the confirmed tour price will not increase.
If an obvious pricing or technical error is identified before confirmation, we will notify the customer and provide the correct price before completing the booking.
Customer-requested additions or booking changes remain subject to the applicable price difference, CAD $50-per-person change fee and supplier costs.
Force Majeure Policy
A force-majeure event is an extraordinary circumstance beyond the reasonable control of CosmoVista Tours. Examples may include severe weather, natural disasters, wildfires, terrorism, war, civil unrest, government restrictions, border closures, public-health emergencies, strikes and major transportation disruptions.
Before Departure
If a tour cannot proceed because of a force-majeure event, CosmoVista Tours will communicate the available options as soon as reasonably possible.
Depending on supplier policies, recoverable funds and applicable law, those options may include:
- Rescheduling the departure;
- Providing a credit toward a future tour;
- Offering comparable alternate travel arrangements; or
- Refunding amounts recovered from suppliers.
Non-refundable amounts already paid to hotels, transportation providers, attractions and other suppliers may be deducted from any refund or credit.
The CAD $50 customer-requested change fee will not apply when CosmoVista Tours changes or cancels a departure because of a force-majeure event.
During the Tour
If a force-majeure event occurs after departure, CosmoVista Tours may adjust the itinerary, change transportation or accommodations, substitute activities or take other reasonable measures to protect travellers and continue the tour where safely and practically possible.
Refunds or credits for missed or altered services are not guaranteed. Any amount offered will depend on recoveries received from suppliers and applicable law.
Travellers are responsible for personal expenses not included in the tour price, including expenses caused by delays, interruptions, additional accommodations, transportation changes or an extended stay, except where otherwise required by law.
CosmoVista Tours is not responsible for losses arising from circumstances beyond its reasonable control to the extent permitted by applicable law.
Travel Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of booking. Coverage should include trip cancellation, interruption, delay, emergency medical expenses and additional accommodation or transportation costs.
Travellers are responsible for reviewing the policy’s coverage, limits and exclusions.
Independently Purchased Tickets and Activities
CosmoVista Tours is not responsible for tickets, reservations, activities, transportation, accommodations, or other arrangements purchased independently and not included in your tour package.
If the tour is cancelled, delayed, rescheduled, or its itinerary is changed, any refund or credit for these independently purchased arrangements will be subject to the third-party provider’s terms. We recommend purchasing flexible or refundable options and confirming the tour’s schedule before making additional arrangements.
Accessibility and Mobility
CosmoVista Tours welcomes travellers of different ages and abilities. Because our itineraries, vehicles and destinations vary, accessibility should be considered on a tour-by-tour basis.
Many tours involve:
- Walking for approximately 20–30 minutes at a time;
- Stairs, hills, cobblestones or uneven pathways;
- Boarding and exiting a coach, minivan or other vehicle;
- Keeping pace with the scheduled group itinerary; and
- Managing personal belongings and luggage when handling assistance is unavailable.
Travellers must be able to participate independently or make their own arrangements to travel with a support person. CosmoVista Tours and its tour directors cannot provide lifting, transfers, personal care, continuous mobility assistance or one-to-one supervision.
Not all vehicles have wheelchair lifts or space for wheelchairs, walkers or mobility scooters, and some hotels, attractions and historic areas may have limited accessibility. The use of a mobility device does not automatically prevent participation; however, suitability depends on the specific vehicle, itinerary, venues and assistance available for that departure.
If you have accessibility-related needs, please contact us before booking and describe the practical assistance or accommodation you require. We will review the itinerary and supplier arrangements with you, consider available accommodations and help you determine whether the tour is a suitable fit.
Please do not rely solely on a general tour description when assessing accessibility. Any agreed accommodation should be confirmed in writing before booking.
Guest Conduct and Safety
CosmoVista Tours is committed to providing a safe, respectful and enjoyable experience for travellers, staff, suppliers and members of the public.
Guests must:
- Treat other travellers, staff, suppliers and local residents respectfully;
- Follow reasonable safety instructions provided by the driver, tour director, guide, hotel or venue;
- Arrive at designated meeting points at the stated times;
- Avoid conduct that disrupts the tour or interferes with another guest’s enjoyment; and
- Comply with applicable laws and supplier rules.
Prohibited conduct includes threats, violence, harassment, discrimination, bullying, illegal activity, deliberate property damage, dangerous behaviour, excessive intoxication and repeated refusal to follow reasonable safety or operational instructions.
Where appropriate, CosmoVista Tours will provide a warning and a reasonable opportunity to correct the behaviour. Serious conduct that threatens safety, involves illegal activity or materially disrupts the tour may result in immediate removal without prior warning.
A guest who is removed from a tour because of their conduct:
- Is not entitled to a refund or credit for unused services;
- Is responsible for arranging and paying for their own transportation, accommodation and return travel; and
- May be held responsible for damage, supplier charges or other costs resulting from their actions.
Any decision to remove a guest will be made reasonably, based on the circumstances and subject to applicable law.
Travel Insurance
Travel insurance is not included in CosmoVista Tours packages. We strongly recommend purchasing comprehensive coverage at the time of booking to protect yourself from unexpected expenses and financial loss.
Illness, injury, severe weather, transportation disruptions and other unforeseen events can affect travel plans before or during a tour. Depending on your destination and personal circumstances, consider coverage for:
- Trip cancellation and interruption;
- Emergency medical treatment and hospitalization;
- Medical transportation and repatriation;
- Travel delays and missed connections;
- Lost, delayed or damaged baggage; and
- Additional accommodation or transportation expenses.
Travellers should carefully review the policy’s covered reasons, benefit limits, deductibles, exclusions and claim requirements. Coverage varies considerably between insurers, credit cards and employee benefit plans.
You are responsible for ensuring that the policy is appropriate for your age, health, destination, planned activities and total non-refundable trip cost. Any pre-existing medical conditions should be disclosed accurately to the insurer, and applicable stability-period requirements should be reviewed before purchasing coverage.
CosmoVista Tours does not sell, administer or determine eligibility for travel insurance and cannot guarantee that an insurer will approve a claim. Insurance coverage and claims are matters between the traveller and the insurance provider.
CosmoVista Tours’ cancellation, change and refund policies continue to apply regardless of whether a traveller purchases insurance or whether an insurance claim is approved.
Except where otherwise required by applicable law, travellers are responsible for medical costs and personal expenses not included in the tour package.
Responsibility and Limitations of Liability
Independent Suppliers
CosmoVista Tours arranges travel services provided by independent suppliers, including transportation companies, hotels, restaurants, attractions, cruise operators, local guides and activity providers.
We exercise reasonable care when selecting suppliers but do not own, operate or directly control their businesses, facilities, vehicles or employees. Each supplier is responsible for delivering its services and for its own acts, omissions and operations.
To the extent permitted by applicable law, CosmoVista Tours is not responsible for loss, injury, delay or damage caused solely by an independent supplier or by circumstances outside our reasonable control.
Nothing in these Terms limits any responsibility or consumer right that cannot legally be excluded.
Circumstances Outside Our Control
To the extent permitted by applicable law, CosmoVista Tours is not responsible for losses or additional personal expenses resulting from circumstances beyond our reasonable control, including:
- Severe weather, natural disasters, wildfires or other force-majeure events;
- War, terrorism, civil unrest or government action;
- Strikes, border closures or public-health restrictions;
- Traffic, road closures, mechanical problems or transportation disruptions;
- Delays, cancellations or schedule changes made by independent suppliers;
- Actions or conduct of other travellers or members of the public;
- Loss, theft or damage to personal property, except where caused by our negligence;
- A traveller’s illness, injury or personal emergency;
- A traveller’s failure to obtain required passports, visas, permits or other documentation;
- A traveller’s failure to comply with laws, border requirements, safety instructions or supplier rules; or
- The denial, limitation or absence of travel-insurance coverage.
This limitation does not apply where a loss results from CosmoVista Tours’ own negligence, breach of contract or failure to meet an obligation imposed by applicable law.
Itinerary Changes
We make every reasonable effort to operate each tour as published. However, the order, timing, route, transportation, accommodation or included activities may need to change because of weather, traffic, closures, supplier availability, safety concerns or other operational circumstances.
When reasonably possible, we will provide advance notice and arrange a comparable alternative. During a tour, the tour director may make reasonable adjustments necessary for safety, practicality and the overall operation of the itinerary.
Material changes will be communicated and handled in accordance with our Cancellation, Changes and Refund Policy and applicable law.
Comparable substitutions or routine changes to the order and timing of activities do not automatically create a right to a refund. Any refund or credit for an unavailable service will depend on the circumstances, supplier recoveries and applicable requirements.
Additional Personal Expenses
Travellers are responsible for personal expenses not included in the tour price, including meals, accommodation, transportation, medical costs or other arrangements required because of a personal emergency, late arrival, missed departure or failure to follow the itinerary.
Where additional costs arise because of a force-majeure event or supplier disruption, responsibility for those costs will be determined by supplier policies, available insurance coverage and applicable law.
Independently Purchased Travel Arrangements
CosmoVista Tours is not responsible for independently purchased airfare, accommodation, tickets, activities, insurance or other arrangements that are not included in the tour package.
Travellers should avoid making non-refundable arrangements that depend on the tour operating exactly as scheduled. We strongly recommend flexible bookings and comprehensive travel insurance.
Traveller Responsibilities
Travellers are responsible for:
- Arriving at each meeting point by the stated time;
- Following reasonable safety and operational instructions;
- Carrying all required travel documents;
- Assessing whether the tour is suitable for their mobility, health and personal circumstances;
- Safeguarding their personal belongings; and
- Complying with applicable laws and supplier requirements.
A traveller who misses transportation or an activity because of lateness or failure to follow instructions is responsible for any resulting costs and is not automatically entitled to a refund.
Removal From a Tour
CosmoVista Tours may remove a traveller whose conduct threatens safety, involves illegal activity or materially disrupts the tour.
Where appropriate, a warning and reasonable opportunity to correct the behaviour will be provided. Serious conduct may result in immediate removal.
A traveller removed for misconduct is not entitled to a refund or credit and is responsible for their own accommodation, transportation and return-travel costs, subject to applicable law.
Cancellation by CosmoVista Tours
If CosmoVista Tours cancels a departure for an operational reason, such as insufficient enrolment, travellers may choose:
- A full refund of all payments made to CosmoVista Tours for that tour; or
- A credit equal to 100% of those payments toward another eligible CosmoVista Tours departure.
CosmoVista Tours is not responsible for independently purchased airfare, accommodation, insurance or other incidental expenses associated with a cancelled departure.
Cancellations caused by force-majeure events will be handled under our Force Majeure Policy.
Acknowledgment and Assumption of Travel Risks
Travel involves ordinary and sometimes unavoidable risks. These may include illness, injury, changing weather, traffic, transportation disruptions, walking on stairs or uneven surfaces, loss or damage to personal property and the acts or omissions of independent suppliers or other travellers.
By booking and participating in a CosmoVista Tours tour, each traveller acknowledges these inherent risks and agrees to take reasonable responsibility for their personal safety and belongings.
Travellers are responsible for:
- Assessing whether the tour is appropriate for their health, mobility and personal circumstances;
- Following reasonable safety instructions provided by CosmoVista Tours and its suppliers;
- Using appropriate care while walking, boarding vehicles and participating in activities;
- Disclosing accommodation needs before booking; and
- Obtaining appropriate travel and emergency medical insurance.
To the extent permitted by applicable law, each traveller voluntarily accepts the ordinary and inherent risks of travel that cannot reasonably be eliminated without fundamentally changing the tour.
Nothing in these Terms releases CosmoVista Tours from responsibility for its own negligence, breach of contract or failure to meet an obligation that cannot legally be excluded.
Independent Activities and Supplier Waivers
Certain attractions, activities or transportation providers may require travellers to sign a separate waiver or acknowledgment of risk as a condition of participation.
These waivers are agreements between the traveller and the applicable supplier. A traveller who chooses not to accept a supplier’s participation requirements may be unable to participate in that activity and may not be entitled to reimbursement for the unused service.
Bookings Made for Other Travellers
The person making the booking is responsible for providing these Terms and Conditions to every traveller included in the reservation.
Each adult traveller is responsible for reviewing and accepting the Terms applicable to their participation. A parent or legal guardian is responsible for reviewing the terms applicable to a minor traveller.
Making a booking for another adult does not, by itself, authorize the purchaser to waive that traveller’s legal rights.
Responsibility for Traveller-Caused Losses
Travellers are responsible for loss, damage or additional costs caused by their intentional misconduct, illegal activity, negligence or material breach of these Terms and Conditions.
To the extent permitted by applicable law, a traveller agrees to reimburse CosmoVista Tours for reasonable costs, supplier charges or third-party claims arising directly from:
- Deliberate or negligent damage to a vehicle, hotel, venue or other property;
- Injury or loss caused to another person by the traveller’s wrongful conduct;
- Illegal activity or serious misconduct;
- Failure to follow reasonable safety or operational instructions; or
- False, incomplete or misleading information provided in connection with the booking.
This responsibility applies only to the extent that the loss or claim was caused by the traveller.
It does not apply to losses resulting from CosmoVista Tours’ negligence, breach of contract, the actions of an independent supplier outside the traveller’s control or an obligation that cannot legally be excluded.
For a minor traveller, a parent or legal guardian accepts responsibility only to the extent permitted by applicable law.
Reporting an Incident or Concern
If you experience an injury, safety issue, service problem or other concern during a tour, please notify your tour director as soon as it is safe to do so. Early reporting gives us the best opportunity to provide assistance and address the situation while the tour is in progress.
You may also contact CosmoVista Tours at 1- 416-648-9929 during the tour or as soon as reasonably possible afterward.
For a medical emergency, immediate danger or suspected criminal activity, contact 911 or the appropriate local emergency service first. The CosmoVista Tours telephone number is not a substitute for emergency services.
When reporting an incident, please provide:
- Your name and booking information;
- The date, time and location of the incident;
- A clear description of what occurred;
- The names of anyone involved or who witnessed it; and
- Relevant photographs, receipts or other supporting information, where available.
We may ask you to provide a written account so that we can document and review the matter properly.
Timely reporting helps us preserve information, communicate with suppliers and respond effectively. It does not limit any rights available under applicable law.
Travel Documentation and Entry Requirements
Each traveller is responsible for obtaining and carrying all documents required for the tour, based on their citizenship, residency status, destination and travel route.
Depending on the itinerary, required documentation may include:
- A valid passport with the required remaining validity;
- A visa, travel authorization or permanent-resident document;
- Government-issued identification;
- Documentation required for a minor travelling without both parents or legal guardians;
- Health, vaccination or medical-testing documentation, where required; and
- Any other document required by border, immigration, customs or transportation authorities.
The name on each traveller’s booking should match the name shown on their travel documents.
Entry and documentation requirements can change without notice. Travellers should verify current requirements directly with the appropriate government, embassy, consulate or border authority well before departure. CosmoVista Tours cannot provide immigration or legal advice or guarantee that a traveller will be admitted to a destination.
Possession of the required documents does not guarantee entry. Border and immigration authorities have sole discretion to admit or refuse a traveller.
A traveller who is delayed, refused boarding or denied entry because of missing, invalid or insufficient documentation is responsible for all resulting expenses, including transportation and accommodation. No refund or credit will be provided for tour services missed for this reason, subject to applicable law.
Privacy and Personal Information
CosmoVista Tours collects, uses, discloses, retains and protects personal information in accordance with its Privacy Policy and applicable Canadian privacy laws.
Information reasonably required to arrange travel services may be shared with hotels, transportation providers, guides, attractions, payment processors, government authorities and other parties involved in providing or regulating the booked services.
By making a booking, you acknowledge that you have reviewed our Privacy Policy. Where express consent is legally required, it will be requested separately.

Booking Confirmation and Travel Documents
A booking is confirmed only after CosmoVista Tours has received the required payment and issued written confirmation.
Your booking confirmation and invoice will normally be sent by email. Please review all names, dates, room arrangements, pickup selections and other details promptly and notify us immediately if anything is incorrect.
Final travel documents, vouchers and pre-departure information will be provided when available and may be sent separately closer to departure.
Please ensure that the email address supplied at booking is accurate and check your spam or junk folder if you do not receive the expected documents.
Printed documents may be sent by postal mail upon advance request. Delivery times cannot be guaranteed, and electronic copies will remain the official version of the documents.
Baggage Policy
Unless otherwise stated on the individual tour page, each traveller may bring:
- One small or medium suitcase suitable for coach travel; and
- One small carry-on bag or personal item.
Luggage capacity may be more restricted on departures using a minivan, Sprinter or mini-coach. Tour-specific size, weight or quantity restrictions provided before departure will take priority over this general policy.
Travellers are responsible for ensuring that their luggage can be safely accommodated and for managing their belongings when baggage-handling service is not included.
Medication, passports, identification, money, jewellery, electronics, keys and other essential or valuable items should remain with the traveller and should not be placed in checked or stored luggage.
All baggage should be securely closed and clearly labelled with the traveller’s name and contact information.
CosmoVista Tours and its suppliers will take reasonable care when handling luggage. However, to the extent permitted by applicable law, CosmoVista Tours is not responsible for ordinary wear, damage caused by overpacking or unsuitable luggage, unattended belongings, or loss or damage caused by circumstances outside our reasonable control.
Any loss or damage should be reported immediately to the tour director and the applicable transportation provider, hotel or other supplier. We strongly recommend travel insurance that includes baggage and personal-property coverage.
Age Requirement
CosmoVista Tours is designed exclusively for adults aged 18 and older. Travellers under the age of 18 cannot be accepted unless an individual tour page expressly states otherwise.
Support and Accommodation Requirements
CosmoVista Tours is designed for independent, active adults who can participate in the itinerary and manage their daily personal needs without assistance from tour staff.
Travellers must be able to:
- Board and exit the tour vehicle independently;
- Climb approximately three to four vehicle steps;
- Walk for approximately 20–30 minutes at a time;
- Navigate stairs, cobblestones and uneven surfaces where included in the itinerary;
- Manage their medication, meals, personal care and belongings; and
- Keep pace with the scheduled group activities.
Our tour directors, guides and drivers cannot provide lifting, transfers, personal care, medication management, continuous mobility assistance or one-to-one supervision.
A traveller who requires this type of assistance must make arrangements to travel with a support person capable of providing it. The support person must make a separate reservation and is responsible for their own tour costs.
Vehicles used for many of our departures are not equipped with wheelchair lifts or ramps and may not have suitable storage for wheelchairs, walkers or mobility scooters. Accessibility also varies among hotels, attractions and historic areas.
Please contact us before booking to explain the practical assistance or accommodation you require. We will review the specific itinerary, vehicle and supplier arrangements and consider reasonable accommodations where possible.
Accessibility requests are not guaranteed unless confirmed by CosmoVista Tours in writing. If a requested accommodation cannot be provided, we will explain the available options before the booking is finalized.
Pets
Pets are not permitted on our tours. Service animals required because of a disability are not considered pets and will be accommodated in accordance with applicable law. Guests travelling with a service animal should contact us before booking, or as early as possible, so that appropriate arrangements can be coordinated with our transportation, accommodation and activity providers. Guests remain responsible for the supervision, care and control of their service animal throughout the tour.
Seat Assignment
Coach seats may be assigned in advance by CosmoVista Tours. Assignments are based on the booking configuration, traveller requests, vehicle layout and operational requirements.
You may request a preferred seat, including a front-row seat or seating near travelling companions. We will make reasonable efforts to accommodate the request, but a specific seat is not guaranteed unless confirmed by CosmoVista Tours in writing.
Seat assignments may be changed before or during the tour because of a vehicle substitution, safety requirement, accessibility accommodation or other operational need.
If you have a disability-related seating requirement, please contact us before booking and describe the practical accommodation you need. You are not required to provide unnecessary medical details. We will consider the request individually and advise whether it can be accommodated on the applicable vehicle.
Smoking Policy
Smoking and vaping are prohibited on all tour vehicles. This includes tobacco, cannabis, electronic cigarettes and similar products.
Travellers must also comply with the smoking and vaping policies of each hotel, restaurant, attraction and other venue. Smoking or vaping in a non-smoking hotel room may result in cleaning, damage or other supplier fees, which are the responsibility of the traveller.
During scheduled comfort breaks, smoking or vaping is permitted only in legally designated areas. Additional stops will not be made specifically for smoking or vaping.
Services Missed or Unused by a Traveller
No refund or credit will normally be provided for an included service that a traveller chooses not to use or cannot use because of personal circumstances.
This includes missed or unused transportation, accommodation, meals, admissions, guided activities or other tour components resulting from:
- Personal choice;
- Illness or injury;
- Late arrival or early departure;
- Failure to attend at the designated time or location;
- Missing or insufficient travel documentation; or
- Removal from the tour under the Guest Conduct and Safety Policy.
Travellers are responsible for any additional expenses resulting from missed services or an early departure. We strongly recommend travel insurance that includes trip interruption coverage.
This policy does not apply when CosmoVista Tours cancels a service, makes a material change or is required to provide a refund, credit or alternative arrangement under another section of these Terms or applicable law.
Exclusions
Unless expressly listed as included on the individual tour page, the tour price does not include:
- Meals, snacks, or beverages not specified in the itinerary;
- Alcoholic beverages;
- Room service, minibar purchases, telephone calls, laundry, and other personal expenses;
- Optional activities, attractions, or independently purchased tickets;
- Travel insurance, passport, visa, or other documentation costs;
- Transportation to or from the designated departure and return points;
- Baggage charges or costs resulting from excess luggage;
- Gratuities for drivers, tour directors, local guides, hotel staff, or other service providers; or
- Additional charges associated with special dietary requests when imposed by a hotel, restaurant, or other supplier.
Please review the “What’s Included” section of your specific tour before booking, as inclusions vary by itinerary.
Gratuities
Unless specifically stated otherwise on the individual tour page, gratuities are not included in the tour price.
Tipping is entirely optional and may be offered at your discretion to tour directors, drivers, local guides, restaurant staff, and other service providers in recognition of good service. There is no obligation to provide a gratuity.
Hotel Substitutions
If a confirmed hotel becomes unavailable, CosmoVista Tours will notify affected travellers as soon as reasonably possible and attempt to provide a comparable alternative.
In assessing comparability, we will consider factors such as:
- Overall quality and room standard;
- Location and suitability for the itinerary;
- Included amenities and services; and
- The role of the hotel in the advertised tour experience.
A hotel substitution will not automatically create a right to a refund when the replacement is reasonably comparable and acceptable under the circumstances.
If the substitution represents a material change—particularly when the named hotel is a significant feature of the tour—we will communicate the available alternatives and handle the change in accordance with applicable law.
Hotel substitutions caused by force-majeure events will also be handled in accordance with our Force Majeure Policy and any applicable consumer-protection requirements.
Governing Law
These Terms and Conditions are governed by the laws of the Province of Ontario and the applicable federal laws of Canada.
Any dispute relating to a booking or tour will be addressed in the Province of Ontario, subject to any mandatory jurisdiction, consumer-protection right or legal remedy that cannot lawfully be limited.
Nothing in these Terms and Conditions restricts a traveller from exercising rights available under applicable consumer-protection, privacy, human-rights or travel-industry legislation.
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
Agreement to the Terms and Conditions
By completing a reservation with CosmoVista Tours, the person making the booking confirms that:
- They are at least 18 years of age;
- They have read, understood and agreed to the Terms and Conditions in effect on the booking date;
- The information provided for the booking is complete and accurate;
- They are authorized to provide the personal information of the other travellers included in the reservation;
- They will provide these Terms and Conditions to every adult traveller included in the booking;
- They understand that each adult traveller is responsible for reviewing the terms applicable to their participation; and
- They authorize CosmoVista Tours and its payment processor to charge the payment amounts disclosed during checkout, on the invoice or in an agreed payment schedule.
No additional or materially different charge will be processed without authorization unless it is expressly permitted under the accepted booking terms.
A parent or legal guardian making a reservation that includes an eligible minor is responsible for reviewing the terms applicable to that minor’s participation.
The version of the Terms and Conditions accepted at the time of booking will govern that reservation. Later changes will not apply retroactively unless required by law or expressly agreed to by the affected traveller.
