What happens if I need to cancel or transfer my booking?
Deposits are non-refundable in cash. However, if you notify us at least 45 days before departure and have not yet paid the final balance, you may apply the amount paid as a one-time credit toward another eligible CosmoVista Tours departure.
The replacement tour must depart within 12 months of the original departure date and is subject to availability. A CAD $50 change fee applies per traveller, along with any difference in tour price and applicable supplier fees.
Credits have no cash value, cannot be transferred to another person and may be used only by the original traveller. Unused credits expire after the permitted 12-month period.
Once the final balance has been paid, the booking is fully non-refundable and cannot be transferred to another tour or departure date.
What fees apply if I change my booking?
A CAD $50 change fee per affected traveller applies to any approved customer-requested booking change, including:
- Moving to another tour or departure date;
- Transferring an eligible booking credit;
- Substituting one traveller for another;
- Changing a traveller’s name; or
- Making another change that requires the booking or supplier arrangements to be revised.
Changes are subject to availability and supplier approval. Any difference in tour price and additional fees charged by hotels, transportation providers, attractions or other suppliers will also apply.
Traveller substitutions may be requested up to seven days before departure, subject to supplier approval. A traveller substitution does not permit the booking to be moved to another departure date.
Traveller tip: Our hotels, transportation providers and local partners require firm advance commitments. We strongly recommend purchasing comprehensive travel insurance at the time of booking and carefully reviewing its cancellation, interruption, medical coverage and exclusions.
What happens if CosmoVista Tours cancels the tour?
If CosmoVista Tours cancels a departure for operational reasons, such as insufficient enrolment, you may choose either:
- A full refund of all payments made to CosmoVista Tours for that tour; or
- A credit equal to 100% of those payments toward another eligible CosmoVista Tours departure.
If travel cannot proceed because of circumstances beyond our reasonable control—such as severe weather, natural disasters, government restrictions, border closures, strikes or other force-majeure events—refunds, credits or alternate arrangements will depend on supplier policies, recoverable funds and applicable law. We will communicate the available options promptly.
Do I need travel insurance?
Travel insurance is not mandatory, but we strongly recommend comprehensive coverage that includes trip cancellation, trip interruption and emergency medical expenses.
Purchase insurance promptly after booking and carefully review the policy’s coverage, limits, eligibility requirements and exclusions.
Are children allowed on the tour?
Our tours are designed primarily for active adults, but selected departures welcome children aged five and older. Please check the individual tour page or contact us before booking to confirm whether the itinerary is designated as child-friendly.
Is this tour suitable for seniors?
Many of our guests are active older adults. Suitability depends on mobility, stamina and independence rather than age.
Travellers must be able to participate in daily activities independently, board and exit the vehicle without assistance, manage stairs and walk for approximately 20–30 minutes at a time. Our tours are not suitable for travellers who require a wheelchair, walker, mobility scooter or continuous personal assistance.

How much walking is involved?
Walking requirements vary by itinerary, but travellers should expect periods of steady, unhurried walking throughout the day. Tours may include stairs, hills, cobblestones and uneven pathways, particularly in historic districts.
Comfortable, supportive footwear is strongly recommended. Please review the individual tour page for tour-specific activity information.
What is the typical group size?
Group size depends on the type of tour:
- Our full-size coach tours generally accommodate approximately 30–45 travellers.
- Our small-group and “Meet Us There” experiences are more intimate and generally accommodate approximately 12–18 travellers.
The maximum group size for each departure is shown on the individual tour page.
Will there be free time to explore?
Yes. Most itineraries combine guided sightseeing with thoughtfully scheduled free time whenever the program allows.
Depending on the tour, you may have time to visit a café, browse local shops, take photographs or explore independently. The amount of free time varies by itinerary, traffic, weather and other operational considerations.
Which hotels will we stay at?
We carefully select reputable hotels for their quality, comfort, location and suitability for the itinerary. The confirmed hotel for each tour is listed in the Accommodations section of the individual tour page.
- If circumstances require a hotel substitution, we will provide a comparable alternative and communicate any material change in accordance with our Terms and Conditions and applicable requirements.
Where are the pickup locations?
Pickup arrangements vary by tour. Some departures offer designated coach pickup locations across the Greater Toronto Area, while others require travellers to meet us at the destination, hotel or airport.
Please review the Pickup Points section of the individual tour page. Final pickup locations and times will be confirmed in your pre-departure information.
Is there a washroom on the bus?
Full-size motorcoaches generally have an onboard washroom. Sprinters, minivans and some mini-coaches do not.
Regardless of vehicle type, we normally schedule comfort breaks approximately every 2–2.5 hours. Timing may vary depending on traffic, road conditions and the itinerary.
Are meals included?
Breakfast is included on the mornings specified in the itinerary. Lunches, dinners and other meal inclusions vary by tour.

How much luggage can I bring?
Unless otherwise stated, each traveller may bring:
- One small or medium suitcase; and
- One carry-on bag or personal item.
Luggage capacity may be more limited on small-group departures using a minivan, Sprinter or mini-coach. Tour-specific restrictions will be stated on the tour page or in the pre-departure information.
Can the itinerary change during the tour?
Yes. Although we make every reasonable effort to follow the published itinerary, the order, timing or availability of activities may change because of weather, traffic, closures, local events, supplier requirements or other operational circumstances.
Our tour director may adjust the daily schedule and, when necessary, arrange a suitable alternative to support the safety and overall experience of the group. Any material change will be handled in accordance with our Terms and Conditions and applicable requirements.
Can I request specific seats for shows or performances?
Specific seat requests cannot be guaranteed. Seating assignments are controlled by the venue, although we will request that members of the booking or group be seated together whenever possible.
What if I independently book an event or activity during the tour and cannot attend?
CosmoVista Tours is not responsible for independently purchased tickets, reservations or activities that conflict with the tour schedule or cannot be used because of itinerary adjustments, delays or other circumstances.
Before purchasing a separate event or activity, please ensure it does not overlap with scheduled tour activities and carefully review the provider’s cancellation terms. We recommend choosing refundable or flexible arrangements whenever possible.
Can I request a specific seat on the bus?
Yes. You may request a preferred seat when booking, and we will do our best to accommodate you. However, specific seats—including front-row seats—cannot be guaranteed and remain subject to availability, vehicle configuration and operational requirements.
A seat request is not confirmed unless CosmoVista Tours provides written confirmation.
Can I sit with my friends on the bus?
We will make every reasonable effort to seat friends and travelling companions together. Please include the request when booking and provide the names or booking numbers of everyone travelling together.
Seating together cannot be guaranteed, particularly when reservations are made separately or close to departure.
Can I request a specific bed type in my hotel room?
Yes. You may request one bed or two beds, and we will forward the request to the hotel. Bed types are subject to the room category booked and hotel availability and cannot be guaranteed unless specifically confirmed in writing.
Can I request a room near my friends?
Yes. We will gladly forward requests for nearby, connecting or adjacent rooms to the hotel. Please provide the names or booking numbers of the travellers involved.
Final room locations and assignments are controlled by the hotel and cannot be guaranteed.
Can I request a different pickup location?
The confirmed pickup locations for each tour are listed under Meeting Points on the individual tour page.
You may request an additional or alternative pickup location, but it cannot be guaranteed. We will review the request based on the planned route, vehicle access, timing and the needs of the group.
Do not travel to an unlisted pickup location unless CosmoVista Tours has confirmed it in writing.
