This guide will help you prepare for your upcoming CosmoVista tour—from packing and luggage tags to departure timing, coach travel and staying connected.

Your Pre-Departure Checklist
Confirm Your Tour Details
Before departure, please review your CosmoVista booking information and confirm:
- Your tour departure date
- Your pickup location and pickup time
- Your assigned seat number, if applicable
- The luggage allowance for your tour
- Any required identification or travel documents
- That CosmoVista has your current mobile number and email address
Final pickup details and important tour information will be provided before departure. Please review all messages from CosmoVista Tours and check your spam folder if you do not see them.

Review Your Travel Insurance
Travel insurance is not included in your tour package. Before departure, we strongly recommend confirming that you have appropriate coverage for your trip.
Review your coverage for:
- Trip cancellation and interruption
- Emergency medical expenses outside your home province
- Travel delays and missed connections
- Lost, delayed or damaged luggage
- Any exclusions or conditions affecting pre-existing medical conditions
Keep this information with you while travelling:
- Insurance provider’s name
- Policy number
- 24-hour emergency assistance number
- A digital or printed copy of your policy and claims instructions
Coverage and exclusions vary by provider. Please review your policy carefully before departure.

Label Your Luggage
Please attach a secure luggage tag to every suitcase so that hotels and the CosmoVista team can identify it quickly.
Your luggage tag should include:
- Your full name
- Your mobile phone number
- The name of your tour
- CosmoVista Tours

For privacy and home security, avoid placing your full home address on an exposed luggage tag.
Make your suitcase easy to recognize
Add a colourful ribbon, luggage strap or distinctive tag.
Travelling as a couple?
Attach a separate name tag to every suitcase, even when both guests are on the same reservation.

Keep essentials with you
Medications, identification, travel documents, valuables and electronics should remain in your personal bag—not in luggage stored beneath the coach.
Guest Conduct & Respect
At CosmoVista Tours, we want every traveller to enjoy a welcoming, safe, and comfortable journey.
We ask guests to:
- Treat fellow travellers, tour staff, suppliers, and local communities with courtesy and respect;
- Follow reasonable instructions provided by the tour director, driver, guides, and service providers;
- Arrive at designated meeting points on time; and
- Avoid conduct that disrupts the tour or affects the safety, comfort, or enjoyment of others.
Harassment, discrimination, threats, violence, illegal activity, excessive intoxication, unsafe conduct, or repeated disruptive behaviour will not be accepted.
Where appropriate, we will first provide a warning and an opportunity to correct the behaviour. Serious misconduct, safety concerns, or continued disruption may result in removal from the tour without refund. The guest will be responsible for any resulting transportation, accommodation, damage, or other expenses.
Our goal is simple: a memorable journey built on kindness, consideration, and respect for everyone travelling with us.
Departure-Day Reminders
Before Departure
To help keep the journey running smoothly:
- Arrive at your pickup location at least 15 minutes before the confirmed departure time.
- For daily excursions, be ready in the hotel lobby or designated meeting place at the stated time.
- Confirm your pickup location and departure time before leaving home or your hotel.
Please Be on Time
Our tours operate on a carefully planned schedule so that everyone can enjoy the full itinerary. The coach may be unable to wait for late arrivals.
If you miss a departure, please contact CosmoVista Tours immediately. Any transportation or other costs required to rejoin the group will be the traveller’s responsibility.
Final pickup and departure details will be provided before your tour. Please review all messages carefully and notify us promptly if anything appears incorrect.
Keep These Items With You
Do not place essential or valuable items in your checked luggage. Keep the following in your carry-on or personal bag:
- Medications;
- Passport, identification, and travel documents;
- Money, credit cards, and valuables;
- Mobile phone, electronics, and chargers; and
- Any personal items you may need during the journey.
What to Pack
To help you travel comfortably, we recommend bringing the following:
Travel Essentials
- Government-issued photo identification;
- A valid passport and any required travel documents for tours crossing an international border; and
- Copies of your booking confirmation and emergency contact information.
Comfortable Footwear
Bring comfortable, supportive walking shoes. Many destinations include historic districts, cobblestone streets, stairs, hills, and uneven pathways.
Clothing for Changing Weather
- Layered clothing suitable for changing temperatures;
- A light rain jacket or compact umbrella; and
- Seasonal items appropriate for your destination and travel dates.
Health and Personal Items
- Prescription and non-prescription medications;
- Personal care items; and
- Any health-related essentials you may require during the journey.
Keep medications, identification, travel documents, money, and valuables with you rather than in your stored luggage.
Optional Comfort Items
- Travel pillow;
- Snacks for the journey;
- Reusable water bottle;
- Sunglasses and sunscreen; and
- Small day bag or backpack for daily excursions.
Packing tip: Pack lightly and bring only what you can comfortably manage during hotel check-ins and short walks.
Luggage Policy
To ensure sufficient storage space and a comfortable journey, each traveller may bring:
Checked Luggage
One small or medium-sized suitcase per person, approximately 24–26 inches, to be stored in the vehicle’s luggage compartment.
Carry-On or Personal Item
One small carry-on bag, purse, or backpack per person to keep with you during the journey.
Important Information
- Pack only what you can comfortably manage yourself during hotel check-ins and short walks.
- Keep medications, identification, travel documents, money, valuables, and electronics in your carry-on or personal bag.
- Oversized luggage, additional suitcases, and large coolers may not be accepted because storage space is limited.
- Smaller vehicles may have more restrictive luggage limits. Any tour-specific allowance shown on the individual tour page or in your pre-departure information will take priority.
Please contact CosmoVista Tours before departure if you need to bring additional or oversized luggage. Acceptance cannot be guaranteed.
Onboard Comfort & Courtesy
To help make the journey comfortable and enjoyable for everyone, please observe the following guidelines:
Comfort Stops
Washroom and refreshment stops are generally scheduled every two to two and a half hours. Timing may vary depending on traffic, weather, border crossings, and the day’s itinerary.
Quiet Travel Periods
During early-morning departures and late-evening drives, please keep conversations, phone calls, and mobile-device volume to a minimum.
Personal Entertainment
Use headphones when listening to music, watching videos, or using other personal entertainment. Speakerphone calls and audio played through external speakers are not permitted.
Shared Coach Space
Keep aisles and exits clear, store personal belongings safely, and follow instructions from the driver and tour director. Please be considerate of fellow travellers and help us maintain a clean, comfortable, and pleasant environment throughout the journey.
Daily Schedule and Updates
To help your journey run smoothly, your tour director will keep you informed of important schedule details throughout the tour.
Daily Briefings
Your tour director will review the next day’s schedule at an appropriate time, including:
- Departure times;
- Meeting locations;
- Planned activities;
- Meal arrangements, where applicable; and
- Any special instructions or itinerary updates.
Please listen carefully and make note of the confirmed times, as schedules may be adjusted due to traffic, weather, local events, supplier requirements, or other operational circumstances.
Optional Activities and Meals
Information about optional excursions, additional meal arrangements, applicable costs, and booking deadlines will be communicated when available.
If you are uncertain about any part of the schedule, please ask your tour director for clarification. We want you to feel informed, prepared, and able to enjoy each day of your journey.
Travel and Seat Assignments
Seats may be assigned before departure based on the vehicle configuration, operational requirements, and any requests received. Your seat number, if applicable, will be provided before the tour or confirmed by your tour director.
We will consider seating requests, including requests to sit with travelling companions, but specific seats cannot be guaranteed unless confirmed in writing. Seat assignments may change if the vehicle or operational requirements change.
Vehicle Facilities
Full-size motorcoaches generally include an onboard washroom. Minibuses, Sprinter vans, and other smaller vehicles may not. Regular comfort stops are normally scheduled approximately every two to two and a half hours, subject to traffic, weather, border crossings, and the itinerary.
Wi-Fi, electrical outlets, and other onboard amenities vary by vehicle and are not guaranteed.
Food and Beverages
Small snacks and non-alcoholic beverages may be permitted, subject to the transportation provider’s rules. Please use secure containers, avoid strongly scented or messy foods, and dispose of all waste responsibly.
Stay Connected
Reliable communication helps your tour run smoothly. Please ensure that CosmoVista Tours has your current mobile number and email address before departure.
Keep Your Phone Available
Keep your mobile phone charged and switched on during travel days and excursions. We recommend bringing a portable charger, particularly on longer sightseeing days.
Wi-Fi and Mobile Service
Many hotels provide Wi-Fi, but availability, speed, and reliability cannot be guaranteed. Onboard Wi-Fi and electrical outlets vary by vehicle and may not be available.
For tours travelling outside Canada, contact your mobile provider before departure to review roaming options and possible charges.
Tour Updates
Important information may be communicated by email, text message, telephone, or through your tour director. Monitor your messages regularly and check your spam folder before departure.
Emergency Contact Information
CosmoVista Tours’ contact details and any tour-specific emergency information will be provided before departure. Save this information on your phone and keep a written copy with your travel documents.
In an immediate medical, safety, or security emergency, contact 911 or the appropriate local emergency service first, and then notify your tour director or CosmoVista Tours as soon as it is safe to do so.
